1.2. Withdrawal of Your Consent to Data Processing

You have the option to withdraw your consent to the processing of your personal data at any time. A simple message to us by email is sufficient for the withdrawal. This does not affect the lawfulness of the processing of your data carried out on the basis of your consent up to the time of withdrawal.

1.3. Right to Lodge a Complaint with a Supervisory Authority

Should data protection violations occur, you have the right to lodge a complaint with the competent supervisory authority. The data protection authority competent for our company is the data protection commissioner of the federal state in which our company has its registered office. 1.4. Encryption of the Website

To protect confidential content, such as orders or inquiries that you send to us as the website operator, this site is encrypted using SSL or TLS technology. You can recognize a secured connection by the fact that the URL in the address bar of your browser changes from “http://” to “https://” and by the lock symbol in your browser bar.

Once encryption is activated, the data you send to us cannot be viewed by third parties.

1.5. Rights to Information, Restriction and Erasure

Under the applicable statutory provisions, you have the right at any time to obtain free information about your stored personal data, its origin, recipients and the purpose of its processing, as well as, where applicable, the right to rectification, restriction or erasure of this data. 1.6. Objection to Advertising Emails

We object to the use of contact data published in fulfilment of the imprint obligation for the purpose of sending advertising and information materials that have not been expressly requested. In the event of unsolicited advertising information being sent, such as spam emails, we reserve the right to take legal action.

3. Hosting

The website and the app run on servers in Germany operated by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. A data processing agreement under Art. 28 GDPR is in place with Hetzner.

3.1. Server Log Files

When you visit our website, information transmitted by your browser is collected automatically:

  • Browser type and version
  • Operating system
  • Referrer URL
  • Hostname of the accessing device
  • Time of the server request
  • IP address

This data is not merged with other data sources. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is the secure and error-free operation of the website.

4. Data Collection on Our Website

4.1. No Cookies on the Website

Our website does not set cookies and does not read information from your device that would require consent. That is why we do not show a cookie banner.

4.2. Audience Measurement with Plausible Analytics

We use Plausible Analytics to evaluate the use of our website in aggregated form. We run Plausible ourselves on our own servers; no data is passed to third parties. Plausible does not set cookies and does not store IP addresses. To tell visits apart, a value is derived from the IP address and browser identifier that changes daily and does not allow recognition across days. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is improving our offering.

4.3. Fonts

The fonts used on the website are served from our own server. No connection to third-party servers is made.

4.4. Contact by Email

If you contact us by email, we process your details to handle the request and any follow-up questions. The legal basis is Art. 6(1)(b) GDPR if your request relates to a contract, otherwise Art. 6(1)(f) GDPR. We delete the data once it is no longer needed for this purpose and no statutory retention obligations apply.

4.5. Roadmap Notifications

On our roadmap page you can leave your email address to be notified when an announced feature becomes available. We send these emails via Brevo (Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany). We store your email address, the language of the page and the source of the sign-up. The legal basis is your consent under Art. 6(1)(a) GDPR. You can unsubscribe at any time via the link in every email or by writing to us; your address is then deleted. A data processing agreement is in place with Brevo.

4.6. Booking via the Booking Widget

On our demo page and on our customers' websites, appointments can be booked through the Meetbolt booking widget. We process the details you enter in the booking form (e.g. name, email address, chosen slot, message) to create the appointment, send confirmations and add it to the connected calendars. For bookings with our customers we act as their processor; the respective customer is the controller. For demo bookings with us, the legal basis is Art. 6(1)(b) GDPR.

5. Use of the Meetbolt App

5.1. Registration and Account

To use the app, you create an account with an email address and a password. We store passwords only as a hash. For sign-in, the app sets a strictly necessary session cookie (Section 25(2) no. 2 TDDDG). We process your account data to perform the user agreement under Art. 6(1)(b) GDPR and delete it when you close your account, unless statutory retention obligations apply.

5.2. Customer and Contract Data

We process personal data only to the extent necessary to establish, define or change the contractual relationship (Art. 6(1)(b) GDPR). We keep invoicing and accounting records for the statutory retention periods.

5.3. Email Delivery

System emails from the app (e.g. booking confirmations, cancellations, password resets) are sent via Brevo (Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany) under a data processing agreement. The legal basis is Art. 6(1)(b) GDPR.

5.4. Payment Processing

Payments for paid plans are processed by Mollie B.V., Keizersgracht 126, 1015 CW Amsterdam, the Netherlands. The data required for the payment (e.g. name, email address, payment details, amount) is transmitted to Mollie. The legal basis is Art. 6(1)(b) GDPR. Mollie's privacy policy applies to its processing: https://www.mollie.com/privacy.

5.5. Calendar and Video Conferencing Integrations

When you connect a calendar or video service in the app, we access it with your permission to check free times, add appointments and create meeting links. Data is exchanged with the respective provider:

  • Google Calendar and Google Meet: Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland
  • Microsoft Outlook and Microsoft Teams: Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland
  • Apple iCloud Calendar: Apple Distribution International Ltd., Hollyhill Industrial Estate, Hollyhill, Cork, Ireland

The legal basis is Art. 6(1)(b) GDPR. You can disconnect a service in the app at any time or revoke the permission with the provider. The providers may transfer data to the USA; such transfers rely on the European Commission's adequacy decision for the EU-US Data Privacy Framework.

6. Additional Agreements

6.1. Use of Google API Data in the Context of Calendar Synchronization

Meetbolt (trefox GmbH) uses information obtained through Google APIs in accordance with the Google API Services User Data Policy, including the Limited Use requirements, specifically for calendar synchronization and the management of appointments.

6.1.1. Purpose of Data Use:

The integration with Google services enables Meetbolt to synchronize our users' calendars and manage appointments efficiently. The data use includes:

  • Calendar synchronization: By connecting your Meetbolt account with Google Calendar, appointments can be synchronized automatically. This enables seamless integration of your scheduled appointments between Meetbolt and your Google Calendar.
  • Appointment management: Meetbolt enables appointments to be entered and removed directly from your Google Calendar. This makes it easier to organize and adjust your appointments without having to switch between different applications.

6.1.2. Data Security and Privacy:

  • Limited data use: Meetbolt undertakes to use the data obtained from Google APIs only for the above-mentioned purposes of calendar synchronization and appointment management. We ensure that the use of this data complies with Google's Limited Use requirements.
  • Data protection: The security and privacy of your data are important to us. Meetbolt takes all necessary measures to keep your data secure and to use it only for the stated purpose. You have the option at any time to review the synchronization with Google services and to revoke the permissions if necessary.
  • Meetbolt strives to provide added value to our users through the efficient management of calendars and appointments, while always safeguarding the security and privacy of user data.
